Privacy Policy

Matters2U is a product of ApexMindworks, based in San Diego, California. This Privacy Policy explains how we collect, use, store, and protect your information. We believe your data is yours — we never sell it, never use it for advertising, and never train AI on your personal entries.
1. Introduction
By using Matters2U at matters2u.ai or through any associated mobile application, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the service.
2. Information we collect
2a. Information you give us directly
When you use Matters2U, you may provide:
- Voice and typed entries — everything you speak or type into Matters2U, including logs, notes, and updates about your health, home, family, cars, pets, and anything else you choose to track
- Button-tap entries — timestamped entries created when you tap a custom button (for example, "Put gas in Subaru")
- Folders and categories — the names and structure of the folders you create to organize your entries, including nested folders
- People and family context — names and relationship context you share about others (for example, a pet's name, a family member's medication)
- Photos, documents, and links — files, images, and URLs you attach to an entry (for example, a warranty receipt or a photo from a vet visit)
- Locations — any location you attach to an entry
- Dates and times — included in your entries or generated automatically when you tap a button
2b. Information collected through sign-in
Matters2U supports two sign-in methods:
Google Sign-In: When you sign in with Google, we receive your name, email address, and Google profile photo. We do not receive your Google password. Google's own privacy policy governs how Google handles your information: policies.google.com/privacy
Email and password: If you create an account with your email address and password, your email is stored in Firebase Authentication. Your password is never stored in plain text — it is securely hashed by Firebase. We do not have access to your password.
2c. Google Calendar and Google Tasks (optional)
If you choose to connect Google Calendar and/or Google Tasks, Matters2U requests read access through Google's sign-in permissions to import relevant events and tasks into your account, so Pinn can include them in your entries and weekly summaries. We only access the calendar and task data needed to provide this feature, and we do not use it for any other purpose. You can disconnect this integration at any time in Matters2U's settings, or by revoking access directly at myaccount.google.com/permissions. Your use of Google Calendar and Google Tasks remains subject to Google's own terms and privacy policy.
2d. Information collected automatically
- Usage data — how you interact with the app, which features and buttons you use, frequency of use
- Device information — browser type, operating system, device type
- Log data — IP address, access times, pages visited
3. How we use your information
We use your information to:
- Provide the Matters2U service — capturing, organizing, and recalling your entries
- Power AI features — processing your entries to suggest folders and buttons, generate weekly summaries, and respond to your questions
- Improve the service — understanding how features are used to make Matters2U better
- Communicate with you — sending your weekly digest, responding to support requests, and sharing service-related notices
- Ensure security — detecting and preventing fraud or unauthorized access
4. How your information is stored
Your data is stored using Google Firebase, a secure cloud infrastructure operated by Google. All data is encrypted in transit and at rest. Firebase is compliant with industry-standard security certifications including SOC 2 and ISO 27001. Your entries are associated with your account and are not accessible to other users.
5. AI processing
Matters2U uses artificial intelligence (Pinn) to process your voice, typed, and button-tap entries in order to organize and route entries to the right folder, suggest buttons and folder structures, generate your weekly summary, and answer your questions about what you've logged. When you speak to Pinn, your audio is converted to text in order to process your entry; we do not retain audio recordings beyond what's needed to complete that conversion.
We never use your personal entries to train AI models. Your data is processed to serve you — not to improve AI systems for other users or third parties.
6. Information sharing
We do not sell your personal information. We do not use your data for advertising. We do not share your personal entries with third parties except in the following limited circumstances:
- Service providers — we use Firebase (Google) for authentication and storage, Anthropic's Claude API for AI processing, and the Google Calendar/Tasks API for the optional import feature. These providers process data only as necessary and are bound by confidentiality obligations
- Legal requirements — we may disclose information if required by law, court order, or to protect the rights and safety of our users or the public
- Business transfers — if ApexMindworks is acquired or merged, your information may transfer to the new entity, subject to this Privacy Policy
7. Data retention
We retain your data for as long as your account is active. If you delete your account, your personal entries and associated data will be deleted within 30 days, except where retention is required by law. If you disconnect Google Calendar or Google Tasks, previously imported data already saved to your entries remains until you delete it.
8. Your rights
You have the right to access your data, correct inaccurate information, delete your account and all associated data, and opt out of non-essential communications. To exercise any of these rights, contact us at hello@apexmindworks.ai.
California residents (CCPA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act, including the right to know what personal information we collect, the right to delete your personal information, and the right to opt out of the sale of personal information. We do not sell personal information.
9. Children's privacy
Matters2U is not intended for use by children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that a child under 13 has provided personal information, we will delete it promptly. Contact us at hello@apexmindworks.ai if you have concerns.
10. Security
We take reasonable measures to protect your information from unauthorized access, disclosure, alteration, or destruction, including encryption in transit and at rest, secure authentication, and access controls. However, no method of transmission over the internet is 100% secure.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top. If changes are material, we will notify you by email or through the app.
